In order to offer you our services, advice and make travel arrangements on your behalf Naturally Africa Volunteers needs to collect information about you. We take the protection of your information seriously and take all reasonable measures that we can to safeguard your privacy. It is your right to know how we collect and use information and this is outlined in our Privacy Policy below.

If you do not agree to the use of your information as outlined in our Privacy Policy we will be unable to help arrange your volunteer programme and travel arrangements.

What is “Your Information”?

This is information that you provide, or is provided to us, such as your name, contact details, travel preferences, medical dietary or any special requirements.

If you make a group booking it also includes any information about other persons on your booking. You are responsible for ensuring that other members of your party are aware of the content of our Privacy Policy and consent to you acting on their behalf in your dealings with us.

Some of your information, such as health or religion, may be considered “sensitive personal data” under the Data Protection Act 1998. We collect it to cater to your needs, or act in your interest and we are only prepared to accept such data from you on the condition that we have your positive consent, which is granted by accepting the terms of our Privacy Policy.

How Information is Collected

Your information is collected when you make an enquiry, communicate with us, or make a booking either by phone, email, in writing, or through our website.

How We May Use Your Information

In order to provide you with our services and make arrangements on your behalf, including, but not limited to volunteer projects, travel services, accommodation, flights, or insurance, we may for business purposes disclose your information to our service providers, who may be located outside the UK/European Economic Area (EEA).

Controls on data protection in countries outside the EEA may not be as strict as the legal requirements in this country. We take all reasonable measures possible to ensure the reputability of our service providers and will only disclose your information when strictly necessary. However, we cannot take responsibility for the handling of your information by third parties.

In order for you to travel overseas, it may be mandatory for us to disclose your information for immigration, security and anti-terrorism purposes, or any other purposes which government authorities determine appropriate. Even if not mandatory, we may exercise our discretion to assist where appropriate.

By booking with us you also agree for your insurers, their agents and medical staff to disclose relevant information, which may contain sensitive personal data to us in circumstances where we need to act in the interest of everyone in the group you are travelling with.

Your Information and Marketing

We may from time to time contact you with information about our volunteer projects, special offers, forthcoming events or competitions, or other related news. You may at any point request that we no longer send you any direct marketing material and there will be an option available for you to opt out of future mailings on all e-marketing communications. You will also be given the opportunity to indicate your preference regarding receiving third party direct marketing material wherever relevant.

Any likeness or image of you secured on any of our programmes, or whilst volunteering or travelling with us may be used by Naturally Africa Limited, without charge, in all media (whether presently existing, or created in the future) and without limitation for promotional or marketing purposes, including promotional materials of any kind, such as brochures, websites and videos.

Changes to Your Information

We will update your information whenever we get the opportunity to keep it current, accurate and complete.

You have the right to request in writing a copy of the information that we hold about you (for which we may charge a fee) and to correct any inaccuracies in your information.
